The role
The Office Administrative Associate plays a critical role in ensuring smooth day-to-day office operations by providing comprehensive administrative and organizational support across the company. This position is ideal for a detail-oriented professional who thrives in a dynamic environment and takes pride in maintaining an organized, efficient, and welcoming workplace. The role supports leadership and internal teams through office coordination, scheduling, onboarding logistics, and event planning, while continuously identifying opportunities to improve office efficiency and operations. Strong communication skills and a proactive, service-oriented mindset are essential for success in this role.
Responsibilities
Serve as the primary point of contact for general office operations and administrative supportMaintain a clean, organized, and professional office environmentOrder and manage office supplies, kitchen inventory, and equipmentCoordinate office lunches, catering, and team mealsManage calendars, appointments, meetings, and on-site schedulingAssist with onboarding logistics, including workspace setup and supply coordinationCoordinate package delivery to departmentsFacilitate processing of USPS mail, invoices and office-related expensesSupport leadership and teams with administrative tasksAssist with planning meetings, internal events, and company activitiesCommunicate effectively with internal teams and external partnersIdentify opportunities to improve office efficiency and organizationSupport special projects and administrative operational needs as assigned
Required qualifications
Previous experience in an administrative, office coordination, or similar roleStrong organizational skills and attention to detailExcellent written and verbal communication skillsProficiency in Microsoft Office Suite, Google Suite and general knowledge of web-based applicationsProfessional demeanor with a proactive, solution-oriented mindsetAbility to work independently while supporting cross-functional teamsExperience in a growing or dynamic company environment is a plus
