About the role:
The Administrative assistant supports daily administrative operations of our company including scheduling, customer service, document management, ordering office materials, and communication with company staff.
What you'll do:
Answer and route incoming calls; provide friendly, professional customer serviceSchedule estimates, plastering jobs, inspections, and crew dispatchMaintain accurate job files and records (paper and digital)Assist with invoicing, purchase orders, and basic bookkeeping tasksCommunicate with customers regarding appointments, timelines, and service updatesCoordinate with suppliers, subcontractors, and inspectors as neededPrepare documents such as contracts, work orders, and job foldersSupport hiring/onboarding paperwork and time trackingEnsure the office is clean, stocked, and organizedPerform other administrative duties as assigned to support the team
What we are looking for:
To effectively perform the duties for this position, individuals must be able to demonstrate competencies that are essential to the position, which include:
The ability to work from our Dallas office Monday-FridayHigh School Diploma or GED 2+ years of administrative or office experience (construction/trades preferred)Strong communication and organizational skillsProficient with Microsoft Office (Word, Excel, Outlook) and Google WorkspaceExperience with scheduling software, QuickBooks, or CRM systems is a plusAbility to multitask and prioritize in a fast-paced environmentFriendly and professional demeanor—comfortable dealing with customers and crewsBilingual (English/Spanish) preferred but not required
Physical Requirements/Work Environment:
Prolonged periods sitting at a desk and working on a computerOccasional lifting of office supplies or job folders (up to 20 lbs)
