Hospitality Coordinator, London Ready to step into the world of high-end meeting and event planning? At Convene we are looking for  a Hospitality Coordinator who thrives on making things happen. As the connector of the dots, you’ll partner with our Event Managers to see every event through from concept to 'wow.' You are hospitality through and through—meaning you care just as much about the behind-the-scenes execution as you do about the first hello. What you will do:  Effectively communicate via verbal and written correspondence with all levels of employees and clients; exhibiting GRIT in all interactions  Work dynamically and prioritise departmental functions to meet deadlines Approach all encounters with guests and employees in an attentive, friendly, courteous, and service-oriented manner Enter and input visitors  Problem-solving/requests at the desk Liaison with the Operations Team along with WP-Members; assist with Robin (Room Booking) reservations, catering orders, building requests (badges, tickets, work orders), sorting/delivering mail & packages, and Onboarding new WP-Members Lead show rounds when applicable  Assist with service execution; set-up and breakdown, and support during peak periods Assist with coordination for setup and execution of all functions with the Service, Production, Technology, Customer Success, and Culinary departments Keep Welcome Desk clean/organized; responsible for badge printing and stocking of materials Keep coat room clean/organized Orchestrate and set up Surprise & Delights for WP-Members and/or Site Tours Order office supplies Check-in guests with proxy click and show reception/nourish area Escort meetings guests when needed Manage lost and found Building Requests- Cleaning Assist the Conference & Events Manager and Chef with scheduling and administrative responsibilities Create and maintain positive relationships with building management and landlord partners  Develop and maintain positive client relationships  Ensure Standard Operating Procedures and Brand Standards are being adhered to and support any updates accordingly when applicable Platform use in: Salesforce WXM Portal, ProxyClick, Envoy, GoParrot, Square, Robin, ZenDesk, Microsoft (*word, PowerPoint, excel), and Outlook What We Look For:  Ability to work effectively with clients Flexible and long hours sometimes required Ability to move, lift, carry, push, pull and place objects up to 25 pounds without assistance Ability to reach overhead and below the knees, including bending, twisting, pulling, and stooping Ability to stand, sit, or walk for an extended period of time Basic knowledge of Audio/Visual equipment set up and usage We’re Here For You:  Health and Wellness Private medical insurance Subsidised eye care Subsidised fitness membership Employee Assistance Program: well-being support and personal advice programme Time Off and Work-Life Balance 25 days annual leave plus bank holidays, and company sick pay Financial Support and Benefits Bonus scheme Interest-free loan for rail season tickets & further education Subsidised bicycle purchase through Cycle to Work scheme Professional Development and Recognition Continuous professional and personal development support Employee recognition and reward programs to mark achievements and milestones Community and Impact Opportunities to volunteer, donate, and participate in community give-back initiatives The opportunity to have a significant impact on your team and the business in the work that you do Convene is committed to building an inclusive and diverse workforce.
