The Talent Operations Manager plays a critical role in ensuring smooth, timely, and accurate people operations processes across the organization. This role sits at the intersection of talent, finance, and HR—supporting systems, logistics, and programs that directly impact employee experience, staffing effectiveness, and organizational efficiency. The ideal candidate is highly organized, detail-oriented, and energized by managing multiple workflows while improving systems and processes.

What You’ll Do
Additional Pay Operations
Oversee stipend, coverage, and compensation operations, including reviewing submissions for accuracy and compliance, notifying eligible staff and external hires, submitting approved stipends to Finance, and responding to eligibility and payment inquiries.
Coordinate and execute external hiring processes for stipend-based roles as needed.
Manage monthly coverage operations by processing submissions on schedule, resolving discrepancies with internal teams, maintaining clear documentation and reporting, and recommending annual process and policy improvements.
Hiring Support
Coordinate internal hiring for Summer Academy roles, including managing staffing timelines, documentation, and sending placement communications to staff.
Provide support for school-based interviews and interview days as needed, ensuring a smooth and well-coordinated process.
Conduct one-month post-start follow-ups with new hires to ensure completion of the onboarding survey and analyze feedback to identify trends and improve the employee experience.
Employee Experience & Logistics
Oversee the end-to-end execution of the award recognition ceremony, including accurate identification of honorees and coordination of award ordering and distribution.
Coordinate with HR and Hiring managers to ensure a smooth first day for network employees.
Coordinate logistics for meetings, retreats, interviews and other on-site events at the CMO
Manage space reservations, travel bookings, food orders, materials, transportation, and on-site technology setup
Partner with internal stakeholders to ensure events run smoothly and professionally
Book travel arrangements for team members when required
Track and manage the travel budget, ensuring alignment with organizational guidelines
Serve as a point of contact for travel-related questions and changes
Systems Management
Manage and optimize the IncidentIQ ticketing system to track employee needs, improve response time through updated workflows and automations, and support consistent, effective team usage.
Track and manage employee referrals and referral payments, maintain accurate records and reporting, and support referral program communications and timelines.
Manage interview scorecards, candidate templates, and job board structures in Greenhouse to support accurate, consistent, and high-quality hiring workflows.
Compensation
Salary range is $85,000 - $105,000 commensurate with your experience. Democracy Prep employees are provided with a benefits package that includes medical, vision, and dental insurance, 403B matching, parental leave, a smartphone, and a laptop. Democracy Prep employees work on a hybrid schedule with three days based in our New York City office and two days at home each week. Some evenings and weekends will be required, including attendance at board meetings, fundraising events, or other network events.
