About the Role:
We are seeking an experienced, highly organized, and proactive Executive Assistant and Office Manager to support our CEO, COO, and Chief Medical Officer while also owning the day-to-day management of our Boston headquarters. In this role, you will serve as a strategic partner, helping senior leadership stay focused, organized, and operating at peak effectiveness during an exciting period of growth.
This is a hybrid role for someone who is equally comfortable providing high-level executive support and ensuring that a physical office runs smoothly, professionally, and consistently. The right candidate will be a strong operator who anticipates needs, solves problems independently, maintains a welcoming and well-functioning office environment, and helps senior leadership stay focused, organized, and operating at peak effectiveness.
As Executive Assistant, you will manage complex schedules, facilitate key communications, oversee logistical details, and support executive meetings and priorities. As Office Manager, you will be responsible for ensuring our Boston office is maintained to a high standard, welcoming to guests, and aligned with Form Health’s culture and employee experience.
This is a unique opportunity to support a mission that transforms lives while working alongside visionary leaders in a fast-paced, remote-first environment. The position reports to the Chief Administrative Officer and is a hybrid role requiring in-office work at least Tuesday-Thursday each week.
What You Will Do:
Executive Support
Provide direct administrative support to Form Health’s CEO, COO, and Chief Medical Officer
Manage complex calendars, including scheduling across multiple time zones and prioritizing high-impact meetings
Coordinate travel, logistics, expense reports, and preparation materials for executive meetings
Act as a liaison between executives and internal/external stakeholders, ensuring timely, professional communication
Prepare agendas, presentations, briefing materials, and follow-ups for leadership meetings, board meetings, and company-wide events
Support Executive Team meetings through meeting preparation, facilitation, action-item tracking, follow-up, and documentation of responsibilities
Assist with project management tasks and track action items to completion
Coordinate executive offsites, virtual events, and strategic planning sessions, including booking facilities, facilitators, vendors, and logistics
Anticipate operational needs, solve problems independently, and remove barriers to executive effectiveness
Handle sensitive information with discretion and confidentiality
Deliver one-off project support as needed
Boston Office Management
Own day-to-day management of Form Health’s Boston headquarters, ensuring the office is clean, organized, welcoming, and ready for employees, executives, guests, and visitors
Maintain the Boston office to a high standard, proactively identifying and resolving facilities, supply, maintenance, and employee-experience needs
Coordinate facilities issues with the landlord, building management, maintenance vendors, cleaning services, and other service providers
Serve as the primary point of contact for Boston office operations, including office access, guest experience, supplies, conference rooms, mail, deliveries, and general workplace needs
Handle incoming mail and deliveries to the Boston office, including routing items to the appropriate teams and coordinating virtual or offsite scanned mail as needed
Support a positive employee and visitor experience that reflects Form Health’s values of compassion, integrity, and impact
Foster a culture of organization, efficiency, and alignment across the executive team and Boston office
About You:
5+ years of experience as an Executive Assistant supporting senior leaders; healthcare, digital health, or high-growth startup experience preferred
Experience working in a remote-first or hybrid environment with distributed teams
Mastery of Google Workspace, Slack, Zoom, and project management tools
Impeccable organizational skills with the ability to manage competing priorities under pressure
Excellent written and verbal communication skills
Proactive, solutions-oriented, and calm under pressure
